A balance email narrates the account without closing it. Treat its figures as questions for the sender rather than as quotes for payment, and confirm each label before acting on it.

No universal format exists across funders. Each sender designs its own fields and revises them without notice, so every line meaning below is framed as an inquiry to the party that wrote it, never as a definition (no sender supplied a sample message for this article, so every field discussed is illustrative).

1. Tie the Message to an Account and a Date

Begin with the legal entity, the account reference, and the agreement behind the message.
